To ensure that Scale IR schedules discovery calls at optimal times for your team, it's crucial to set your working hours in your scheduling tool (e.g., Calendly, ChiliCal, HubSpot). This prevents us from booking calls outside of your availability, which can lead to missed meetings and scheduling conflicts.
How to Set Your Working Hours
HubSpot
- In your HubSpot account, click the settings settings icon in the top navigation bar.
- In the left sidebar menu, navigate to Users & Teams.
- In the user table, click a user record.
- Click the Preferences tab. Then, in the left sidebar menu, click Working hours.
- Click the Timezone dropdown menu to select the correct user timezone. Then click Save.
- Under General working hours, click + Add hours. Use the dropdown menus to select days of the week, and start and end times. To remove a day, click the delete delete icon.

- Click Save.
- At the top of the user record, you can now see the user's availability status and working hours for the day.
- To manually change the availability status, click the User status dropdown menu, then click Available or Away.
- To edit the working hours, click Edit working hours.
ChiliCal
1. Access My Availability:
- Within MyApp (ChiliHub), go to the "Availability" tab in the left-hand side menu, as described here.
- Alternatively, you can find "My Availability" within the Scheduler's header, according to this article.
2. Edit Working Hours:
- Once in "My Availability," you'll see your default working hours, which are typically set to 9-5, as mentioned here.
- You can toggle days on (available) or off (unavailable) as needed.
- Click on the working hours to edit the start and end times.
- Use the "Copy to All" button to apply a specific start/end time to all available days, as explained here.
3. Create Custom Availability Schedules:
- You can create custom availability schedules for specific scenarios, which can streamline the booking process.
- These schedules can be used to ensure the right times are available for the right meetings.

4. Time Zone Settings:
- By default, your time zone will sync with your calendar.
- You can manually change your time zone in Chili Piper, even if it differs from your calendar.
- To do this, navigate to MyApp's Home page, click "My Availability," and then "Edit" next to "Default working hours," as described in this article.
- Remember to publish your updates once you've made any time zone changes, as explained here.
Calendly
1. Access your Availability:
- Desktop: Go to the Availability tab on your Calendly dashboard.
- Mobile: Navigate to the Availability page on the mobile app.
2. Create or Edit a Schedule:
- New Schedule: Click "+ Schedule" and choose whether to create a custom schedule or select an existing one.
- Edit Existing Schedule: Select the schedule you want to modify.
3. Set Your Availability:
- Daily Availability: Choose the days of the week you'll be available and set the time intervals you want to be booked.
- Date Specific Hours: For exceptions to your regular schedule, use the "Date-specific hours" feature to add or remove time blocks on specific days.
4. Save Your Changes:
- Once you've set your availability, make sure to save the changes.
5. Applying to Event Types:
- If you're updating a schedule, ensure it's applied to all relevant event types. You can adjust this by editing event types and selecting the appropriate schedule in the "Days and times" section.
