Connect Your Calendar to your Scheduling Tool

Connecting your calendar (e.g., Google Calendar, Outlook) to your scheduling tool (e.g., Calendly, ChiliCal, HubSpot) is a critical step in the Scale IR onboarding process.

Calendar Integration is Essential for Several Reasons:

 
  • Enables Appointment Booking: Scale IR cannot book appointments until this connection is established. This integration allows our team to view your availability in real-time and schedule meetings directly into your calendar.
 
  • Facilitates Real-Time Data Flow: Calendar connectivity enables the flow of real-time setter activity. This means that as our team schedules meetings, those updates are immediately reflected in your systems, providing you with an accurate and up-to-date view of your schedule.
 
  • Avoids Scheduling Conflicts: By syncing your calendar, Scale IR can avoid double-booking or scheduling meetings during times when you are unavailable. This minimizes confusion and ensures a smooth scheduling process.
 
  • Accurate Availability: Connecting your calendar ensures that your most current availability is reflected in your scheduling tool, including any personal or internal meetings.
 

How to Connect A Calendar to Your Scheduling Tool

 

HubSpot

 

1. Access HubSpot Settings:In your HubSpot account, click the settings settings icon in the top navigation bar.

 

2. Navigate to Calendar:In the left sidebar menu, go to General and then select Calendar.

 

3. Connect Your Calendar:Click the "Connect your calendar" button to initiate the connection process.

 

4. Choose Your Calendar:You will be prompted to select your calendar provider, such as Google Calendar, Office 365, or Exchange.

 

5. Follow On-Screen Instructions:Follow the instructions provided by HubSpot to authorize access to your calendar, which may involve signing into your calendar account and granting permissions.

 

6. Enable Meeting Scheduling Pages: After connecting your calendar, make sure the "Meeting Scheduling Pages" checkbox is selected to enable meeting scheduling based on your calendar availability.

 

ChiliCal

 

1. Install the ChiliCal Co-Pilot extension:If you're using Chrome, install the extension from the Chrome Web Store. If you're using Outlook, install the Outlook Add-in.

 

2. Connect your calendar:Once the extension is installed, you'll be prompted to connect your calendar (Google, Outlook, etc.) to ChiliCal.

 

3. Access ChiliCal from your email or calendar:You can now access ChiliCal's features directly from your email or calendar, such as inserting suggested times or accessing the scheduler.

 

Helpful Tips:

 
  • Use ChiliCommand: ChiliCommand (e.g., Command/Ctrl + M) allows you to access ChiliCal's tools from any webpage or email composer.
 
  • Use ChiliCal's Co-Pilot: When creating an event in Google Calendar, you'll find ChiliCal options at the bottom where you can include the prospect's email and start the booking process.
 

Calendly

 
  1. Access Calendar Settings:Go to your Calendly account and navigate to the Calendar settings page.
 

2. Connect Your Calendar:

  • Google Calendar: If you've signed up with a Google email, your calendar is likely already connected. If not, you can connect it by clicking "+ Connect Calendar Account" and selecting Google Calendar.
  • Exchange Calendar: You'll need to sign in to your Exchange account and provide the necessary information.
 

3. Choose How Calendly Uses Your Calendar:

  • Check for Conflicts: Decide whether Calendly should check your connected calendar for availability and potential conflicts.
  • Calendar to Add Events To: Select the calendar where Calendly should add scheduled meeting events.
